PDF forms · hand-drawn e-signature (SES) · attachments · consents

Fill PDF forms and collect signatures, attachments and consents without printing a page.

Set up your PDF once. Then fill it from the browser or from Excel, or send the customer a link, and they fill it in, attach documents, accept the terms and sign on their phone.

From a blank PDF to a signed file, in four steps.

  1. 01

    Upload your existing PDF

Any form you already use: contract, intake sheet, expense report, customs declaration. Up to 25 MB. We don't generate documents from scratch — we fill the ones you already have.

  2. 02

    Set up the fields once

“Detect fields” proposes the fields the PDF already draws, such as boxes, lines and underscores, if it was created on a computer. For the rest you click the area to fill and say what goes there: text, date, number, checkbox, signature, even with a checked format or a list of options. Say which documents the customer must attach, too. You do it once, and it's reused every time.

  3. 03

    Fill it your way

From the dashboard, one form at a time. From an Excel or CSV file, to fill hundreds at once. With a secure link for the customer, so they fill it in themselves, even on their phone. Or via API, if you have a technical team.

  4. 04

    Get the completed PDF back

Filled forms land in your account with their attachments, ready to download one by one or as a single ZIP, to archive or, from Pro up, to send on to your other systems automatically through the API and webhooks. Signed ones end with an audit page: who signed, when and from where.

Filling, signatures, attachments and consents in one tool.

Simple electronic signature

Signed on the document they just reviewed.

One signer or several, each on the fields of their role, in sequence or in parallel. Each reviews the filled PDF and draws their signature with a finger, pen or mouse: remotely through their own link, with a code sent by email if you keep it on, or in person. Every signed PDF gets an audit page with signer, date, IP address and SHA-256 fingerprint.

Attachments

The documents arrive with the form.

On the template you set what to attach: ID card front and back, a company registry extract, a recent bill. As PDF, JPG, PNG or HEIC, up to 10 MB; from Pro up also required and assigned to a specific signer. Until the required attachments are in, the sign button stays locked.

Consents

Terms and privacy, accepted and recorded.

Add the boxes to tick to the form: general terms of supply, privacy notice, marketing consent. Each one can point at its own PDF to read, uploaded into the template and never changed. Boxes always start empty, required consents block the signature, and every answer keeps the exact text, the document fingerprint, time, IP and browser.

Link & QR code

On the customer's phone, no app needed.

The customer opens the link and does everything on their phone: fills in, uploads a file or takes a photo of the document, signs with a finger. At the office or the counter you show a QR code: the customer scans it, reviews the document and signs on their own phone. Photos are compressed in the browser and iPhone HEIC photos are accepted. No account to create.

Help text

Customers know what to write.

Under each field you can add an explanation with clickable links: “You find the POD code on your bill, in the supply details. It starts with IT”. Fewer mistakes and fewer calls, even when the customer fills in without seeing the PDF.

Sections & order

Long forms, in an order that makes sense.

Collect fields into titled sections and decide which one comes first, even when they sit on different pages of the PDF. In the editor you create them with “Groups”. The form follows your order; the layout of the PDF stays exactly as it is.

Conditional fields

Ask only what applies.

Show a field, or a whole section, only when a checkbox is ticked, or only when it isn't. Hidden fields aren't required, aren't checked and aren't printed: in the dashboard, on share links, in bulk and through the API.

Team users

Everyone with their own account.

Invite colleagues by email from Settings → Team: each signs in to the dashboard with their own account and a role, Owner, Administrator or Member. Members prepare templates, send links and download PDFs; Administrators also manage the team, the plan and the integrations. Customers who fill in and sign from a link are not users: unlimited and free.

Reminders & expiry

No request forgotten.

If you turn on reminders, whoever hasn't filled in or signed yet gets the link again 3 days after it was sent and within the 24 hours before it expires: at most twice, Monday to Saturday, between 9:00 and 19:00 Italian time. On the dashboard, “To follow up” lists the requests about to expire and those that expired unanswered. Extend a link that's still active by up to 90 days, or recreate an expired one in a click.

Simple electronic signature (SES) under art. 3 of Regulation (EU) No 910/2014 (eIDAS). It is not an advanced or qualified signature.

For teams that handle forms and contracts every day.

Utilities & multi-utilities

Supply contracts, change of account holder, takeovers, SEPA mandates, cancellations. The customer fills in, attaches their ID and signs from a link; at the counter, they scan a QR code and sign on their own phone. The office gets a complete file, not a PDF to chase by email.

HR & People Ops

Onboarding packets, NDAs, employment contracts, expense forms. Compile in bulk for every new hire, send the rest as personalised links to fill in and sign.

Operations & Logistics

Customs declarations, transport documents, delivery slips. Fill hundreds at once from an export of your warehouse system.

Finance & Administration

Italian forms with tax codes and VAT numbers, even the ones with a box for every character, filled in aligned. Tax codes, VAT numbers and IBANs are checked while filling in; there are also postcode, email, phone and drop-down lists of up to 50 options.

Power, gas, water & fibre

Account transfers and takeovers, complete the first time.

Energy and gas suppliers, water utilities, multi-utilities and local fibre operators still receive contracts, changes of account holder, takeovers, SEPA mandates and cancellations as PDFs by email: often with two signatures to collect and a copy of an ID that's missing or unreadable. With DataPDFEngine it's a single step: the customer fills in, attaches the documents and signs on their phone, and the office receives the complete file.

Typical paperwork

  • Supply contracts
  • Change of account holder
  • Takeovers
  • SEPA mandates
  • Cancellations

Example: a change of account holder with two signers

  1. 01

    Set up the form once

On the transfer PDF you define the fields, the two signers in signing order, outgoing and incoming customer, and the attachments: ID front and back for each of them.

  2. 02

    Send the links

Each signer gets their own link and confirms the signature with a code sent by email. If you turn them on, whoever hasn't signed yet gets an automatic reminder before the link expires.

  3. 03

Each one attaches documents and accepts the terms

Each signer uploads or photographs their own ID and ticks the consents that concern them: terms of supply, privacy, marketing. Until a required attachment or consent is in, they can't sign.

  4. 04

The office gets the complete file

The PDF signed by both, with an audit page listing signers and attachments, and the documents ready to download one by one or as a single ZIP. Or everything reaches your back office through webhooks and the API.

For developers

There's a real API behind it.

REST endpoints, single PDFs rendered in the request, background batches, HMAC-signed webhooks, usage counted PDF by PDF. Built for the engineer who'll integrate this into your stack.

Verifiable by anyone

Every signed document can be verified.

Whoever receives a PDF signed with DataPDFEngine can check in a moment that it is intact, who issued it and who signed it, without uploading the file. And if you turn on the seal in Settings → Organization, once every signature is in we seal the PDF: Acrobat flags any later change.

  • Simple electronic signature (SES) with its record: date, IP, device and, when required, an emailed code
  • SHA-256 fingerprint of every version, with several signers too
  • Optional PAdES electronic seal on the final document

Frequently asked questions.

What is DataPDFEngine?

DataPDFEngine is a web app that automatically fills your existing PDF forms. You upload a PDF once, mark where each value goes, then fill it from your browser, in bulk from an Excel or CSV file, or by sending a secure link so the customer fills it in, attaches the documents you ask for and signs on their phone.

How does it fill a PDF form?

You map each fillable field on your PDF a single time. From then on, every value you type, import, or receive is placed exactly where it belongs and rendered into a finished PDF — no printing, scanning, or retyping.

Can I fill hundreds of PDFs at once?

Yes. Upload an Excel or CSV file and DataPDFEngine fills one PDF per row, then hands you all the finished documents together.

Can recipients sign the PDF?

Yes. Add signature fields to the template: the signer reviews the filled PDF and draws their signature, remotely through a share link confirmed with a code sent by email, or in person, on your device or on the signer's phone through a QR code. It is a simple electronic signature (SES) under art. 3 of eIDAS, and every signed PDF gets an audit page with signer, email (verified, when the code is required), date, IP address, device and the SHA-256 fingerprint of the document. A document can also be signed by several people, each on the fields of their role, one after the other or all at once.

How can someone check that a signed document was not changed?

At datapdfengine.com/verify anyone can drop the PDF they received: the browser computes its SHA-256 fingerprint without sending us the file, and we tell you whether it matches a document the platform issued, who issued it, when and who signed it. If the owner or an administrator turns on the electronic seal in Settings → Organization, once every signature is in the PDF is also sealed (PAdES) and Acrobat flags any later change; it shows the certificate's validity as “unknown”, because the certificate is ours and not from an authority on Adobe's list. The seal attests the integrity of the file: the signature stays a simple electronic signature (SES).

Can the customer attach documents, like an ID card?

Yes. On the template you set which attachments you need, for example ID front and back or a company registry extract, whether they're required (from Pro up), the accepted formats (PDF, JPG, PNG, HEIC) and the maximum size, up to 10 MB. The customer uploads or photographs them on their phone, and the sign button stays locked until the required ones are in. Attachments stay tied to the file: you download them from the dashboard one by one or as a single ZIP with the signed PDF, and they're listed on the audit page with file name, SHA-256 fingerprint and upload date and time.

Can the customer accept general terms and the privacy notice?

Yes. Add the consents to tick to the form, required or optional, with the PDF of the terms to read. Boxes start empty; every answer keeps the exact text, the document fingerprint, the outcome, time, IP and browser, and with a required consent the customer must verify their email. Consents appear on the PDF audit page, in the dashboard, in webhooks and in the API. It is a simple electronic signature: onerous clauses under Italian law (Civil Code art. 1341-1342) need a specific approval to check with a lawyer.

Can I explain to the customer what to write in a field?

Yes. Every field can have a help text, shown under its title when filling in from the dashboard, from a link and when signing on a phone. Links in it become clickable.

Does it work for account transfers and takeovers with two signers?

Yes. On the template you define the signers in signing order, for example outgoing and incoming customer, and assign each one their attachments. Each opens their own link, uploads their own ID and signs on their own fields, in sequence or in parallel. The PDF closes with an audit page that lists both. Several signers and attachments assigned to a signer are included from Pro up.

How do I follow up on whoever hasn't filled in or signed yet?

With automatic reminders, if you turn them on when sending: the same link goes out again 3 days after it was sent and within the 24 hours before it expires, at most twice, Monday to Saturday between 9:00 and 19:00 Italian time. You can also resend it by hand, once a day and up to 5 times, extend a link that's still active by 1 to 90 days or recreate an expired one in a click. On the dashboard, “To follow up” lists the requests expiring in the next 3 days and those that expired unanswered in the last 7. If a request expires unanswered, the next morning you get a summary email, which you can turn off in Settings → Your account. For a bulk send (from Pro up) you remind whoever is missing, revoke the links still open and export a CSV with the status, first opening and completion of every link.

Where do attachments go, and who can see them?

Into private storage: an attachment never has a public address and can only be downloaded as a file, from the dashboard or the authenticated API, and only by members of your organisation. It is deleted together with the PDF, on your plan's retention. We don't record file names or contents in our application logs, the file type is checked from its bytes rather than its extension, and uploads are limited in size, number and rate.

Can a form show some fields only when they're needed?

Yes. A field or a whole section can depend on a checkbox: it appears only when the box is ticked, or only when it isn't. Fields that stay hidden are neither required nor printed. You can also group fields into sections and choose the order they're asked in.

Do I need to be a developer to use it?

No. The whole workflow runs from the dashboard in your browser. There's also a REST API if your team wants to automate it, but it's completely optional.

Can my tech team integrate it via API?

Yes — DataPDFEngine is fully integrable through a REST API. Your developers can render single PDFs, run bulk compilations of thousands of documents, or generate pre-authenticated links for recipients to fill in themselves. Large jobs are processed asynchronously, and webhooks tell you the moment a batch finishes or a document is signed, with the list of its attachments. The API is included from Pro up, and you can try it for 15 days without a card, with a watermark on the PDFs.

See the developer API

How do you handle my data?

Our application servers and database, backups included, are in Milan (EU). PDFs and attachments sit in private storage on Cloudflare R2, with no public address, and are deleted on your plan's retention. R2 may store files outside the European Economic Area too: the details are in the list of sub-processors. If you like, you can fill a PDF without saving its data: only the fill's name and the PDF remain.

Who counts as a user? Do my customers pay?

Users are the colleagues who sign in to the dashboard with their own account: 1 on Free, 2 on Starter, 5 on Pro, unlimited on Business. Customers who fill in and sign from a link or a QR code aren't users: they don't create an account and cost nothing, however many there are.

Is there a free plan?

Yes — the Free plan doesn't expire: 10 PDFs every month, with no credit card required, 1 user and in-person signing, on the customer's phone too through a QR code, within the limits set out in the Terms of Service. Customer links and attachments start from Starter.
